How to report time entries in Phoenix

This video offers an overview of the process for federal employees to report time entries in the Phoenix pay system. The information provided in this video is general and intended for informational purposes only. Processes may be different if your department or agency is serviced by the Public Service Pay Centre or has its own compensation team. You’re encouraged to always verify the internal procedures of your department or agency. The rules and regulations of collective agreements as well as terms and conditions of employment will supersede the content of this video.

Hi there! Are you looking to enter overtime or, leave without pay of five days or less? Or other entitlements in Phoenix self-service? Then check out this video that will guide you through the process.

Phoenix calculates your pay based on your classification, level and step and on the data entered in Phoenix. So in order for you to be paid correctly, data must be entered accurately, and, on time.

If you are an “As & When Required" employee, you will be submitting your time worked through Phoenix Self-Service. If you are a non-connected employee with a designated Timekeeper, they handle all time entries and corrections in Phoenix on your behalf.)

If you are a "salaried" employee, you must enter overtime, leave without pay of five days or less and any entitlement you are owed. If you are an “as and when” employee, you will need to submit your time worked through Phoenix self-service.

And remember, if you are a non-connected employee with a designated Timekeeper, they handle all time entries and corrections in Phoenix on your behalf.

To report time entries, log in to the Compensation web applications to connect to the Phoenix self-service function.

(Text on screen: Choosing the right Employee Record. If you only have one active Employee Record, your current timesheet will open automatically. If you have held multiple acting positions in the past 6 months you will need to select the appropriate position under Job Description. Refer to the Classification, Start Date and End Date fields to identify the proper Employee Record and select it from the list.)

It is very important to submit your time on the right employee record in order to be paid correctly. If you only have one active employee record, the selection page will open automatically and you will skip this step.

If you have held multiple acting positions in the last six months, you will need to select the appropriate position under job description. To do so, refer to the classification start date and end date fields to identify the proper employee record and select it from the list.

In this case, you must wait until the acting record appears in Phoenix to claim your time and entitlements. Once it is available, make sure that you claim your S34 manager on that record, and check that the assigned work schedule is correct.)

If you require more lines, click the plus button. Once all of your hours for that timesheet have been entered, select “Submit”. Your timesheet has now been sent to your Section 34 manager for approval!
