
What to expect when meeting with the Commission — Future of Sport in Canada Commission
Thank you for your willingness to participate in the Future of Sport in Canada Commission. Your voice is important to us. The Commission approaches its work in a spirit of collaboration and openness. The meeting will be taking place in a friendly conversation format in the official language of your choice.

Attendance
Members of the Commission staff
The Commission may be represented by the Commissioner, Special Advisors, Legal Counsel, a research team and a note taker. It varies slightly as to who attends but please be advised that there are likely to be at least 5 people from the Commission.
Support person
Sharing your experience may be difficult. As such, the Commission offers support services if you would like to avail yourself of these. If you do, the week before your meeting with the Commission, the support person will reach out to you to confirm the meeting and respond to any questions that you may have. And, if you find that you need or want to talk with someone before or after, there will be people available and glad to support you as you take this step.
Support person in virtual setting
On the date of your virtual meeting with the Commission, a Commission staff member and the support person will meet you in the virtual lobby before the meeting. It is your choice if you would like the support person to attend the meeting with you or remain in the waiting room until after the meeting.
Support person in an in-person setting
On the date of your in-person meeting with the Commission, a Commission staff member will greet you and escort you to a private room where you will be introduced to the Commission’s support person. It is your choice as to whether the support person attends the Commission meeting with you. If the support person does not attend the meeting, they will remain in the private room and be available should you, at any point, like to speak with them. They will then be in contact with you after the meeting, as well as a week later to check in with you. You are welcome to reach out to us, at any time.
Meetings
Virtual
We would ask you to click on the link provided at the time specified in your meeting invitation. You are welcome to have someone with you if you like. Please note that you can speak in the official language of your choice.
When you and the Commission staff are ready, you will be admitted to the meeting room. The person chairing the meeting (either the Commissioner or one of the Special Advisors) will begin the meeting by introducing themselves and the members of the team joining them. The person chairing the meeting will then ask you to introduce yourself. The Commission will start the meeting with a question like, “we would like to understand your perspective, what is most important for you? Or what do you want us to know about your experience?” If you have prepared remarks, we encourage you to share those at the beginning. The person chairing the meeting may ask questions during the conversation.
If at any point, you are uncomfortable or want to take a break, please let the Commission know. It is your choice as to how the meeting proceeds. And we will respect your time and finish when scheduled. If after the meeting, you would like another opportunity to meet with the Commission, you are welcome to let us know.
The Commission welcomes any suggestions that you may have about what it should consider over its mandate, such as other stakeholders it should meet with, events and conferences related to its mandate, documents that could be useful to its work. At the end of the meeting, the person chairing the meeting might ask you to follow up with additional information in writing depending on the discussion. Following the meeting, a Commission staff will send you a follow-up email reiterating our request for any specific records that were discussed at the meeting. The Commission staff will also share the details of how you can stay involved with the Commission.

In-camera
If you are prevailing yourself of the in-camera meeting option, please note that no personal information will be recorded in any form during the meeting. The meeting will take place in a smaller setting: only the Commissioner, Special Advisors, Executive Directors, and legal counsel will attend.
