Manage online mail

Select “Manage online mail” from the “Review and update” page. Click “Continue” from the "Manage online mail" page.

Manage online mail – Step 1 of 5

Enter the EFILE number(s) that you would like to be receiving electronic notifications and click “Continue”.

Note

The EFILE number(s) must be in the format A####.

Manage online mail – Step 2 of 5

Confirm the EFILE number(s) and names associated with the EFILE number(s) and click “Continue” if everything is correct.

Manage online mail – Step 3 of 5

Enter the email address where you would like the electronic notification to be sent and select the preferred language of the notification. Then click “Continue”.

Note

An email address will be displayed for selecting if an email address is already associated to representatives’ account. The system will default to the existing email address associated to the representatives’ account. To enter and associate a new email address, select the “or provide a new email address” radio button and enter your new email address in the applicable field.

Confirm the email address and the preferred language selected. Agree to the terms and conditions of use.

Confirmation page is displayed with a summary of the registration. After you complete your registration, the CRA will send a confirmation to the email address provided.

View and update email preferences

Select “View and update email preferences” from “Manage online mail” page.

Enter the new email address where you would like the electronic notification to be sent and select the preferred language of the notification. Then click “Continue”.

Note

The system will default to the existing email address associated to the representatives’ account. To enter and associate a new email address, select the “provide a new email address” radio button and enter your new email address in the applicable field.

Confirm the email address and the preferred language selected. Agree to the terms and conditions of use.

Confirmation page is displayed with a summary of the registration. After you complete your registration, the CRA will send a confirmation to the newly added email address.

Select “View and update link to EFILE number(s)” from the "Manage online mail" page.

Enter the EFILE number(s) that you would like to be receiving electronic notifications and click “Continue”.

View and update EFILE number(s) – Removing

Select “Remove EFILE number(s)” from the “View and update link to EFILE number(s)” page.

Select the EFILE number(s) that you would no longer like to be receiving electronic notifications and click “Continue”.

Note
You may continue to receive emails for correspondence items that are being processed over the next five to seven business days. If you remove an EFILE number from receiving electronic notifications, you will no longer be able to view mail online for that EFILE number, including items previously viewable online. To re-instate online viewing of online mail, the EFILE number must be re-registered for electronic notifications. If you would like to re-instate registration for any of your EFILE number(s), you can re-register using “Manage online mail” found in your “Review and update” page.

Confirm the EFILE number(s) and name to be removed. Agree to the terms and conditions of use.

Remove EFILE number(s) – Step 3 of 3

Confirmation page is displayed with the EFILE number(s) and name that is no longer registered for electronic notification.

Note
You may continue to receive emails for correspondence items that are being processed over the next five to seven business days. If you remove an EFILE number from receiving electronic notifications, you will no longer be able to view mail online for that EFILE number, including items previously viewable online. If you are removing your only EFILE number or the last EFILE number registered for electronic notification, you will no longer be able to view mail online. To re-instate viewing of online mail, the EFILE number must be re-registered for electronic notifications. If you would like to re-instate registration for any of your EFILE number(s), you can re-register using “Manage online mail” found in your “Review and update” page.

Cancel registration for online mail

Select “Cancel registration for online mail” from the “Manage online mail” page.

Note

You may continue to receive emails for correspondence items that are being processed over the next five to seven business days. If you cancel registration for online mail, you will no longer be able to view mail online, including items previously viewable online. To re-instate online viewing of online mail, you can re-register the EFILE number using “Manage online mail” found in your “Review and update” page.

EFILE Mail

Select "Mail" from the Represent a Client navigation bar on the left.

Click the EFILE number for the correspondence items you would like to view. This will navigate you to the Mail (correspondence) page with a list of correspondence items available to view online.

Note

If you have removed an EFILE number from online mail, the EFILE number will no longer appear on the Mail page. To re-instate online viewing of online mail, you can re-register the EFILE number using "Manage online mail" found on your Review and update page.

Mail

Mail is a tool within the Canada Revenue Agency (CRA) Represent a Client online service. It lets you review certain correspondence items from the CRA for the EFILE number you selected.

The information here will help you understand what you can do in Mail.

If you need more information or help with Mail, contact the CRA.

Note

Only eligible correspondence items issued to you electronically will be available in Mail.

EFILE number

The EFILE number field will allow you to switch between your authorized EFILE ID’s from within the mail page. By selecting an EFILE number from the dropdown list, the mail page for the selected EFILE will present automatically.

Preferences

Preview pane

The preview pane is defaulted to the right side of the mail page. The preferences button will allow you to change where correspondence items are displayed: right, left, top, or bottom.

Note

The preview pane is blank if you don’t select an item.

Message grouping

Mail items are defaulted to be grouped with the same topic, if the mail list contains audit enquires. If there are no audit enquiries, message grouping option is greyed out.

To choose how mail messages are organized, you can click the preferences button and select "Show mail items individually".

Archive

The Archived tab lets you separate correspondence items from the Mail tab. Within the archived tab you can view, sort, and filter correspondence items.

By selecting the archive icon in the mail tab, the correspondence item will be placed into the archived tab. Archived items can be moved back to the mail tab by selecting the icon with an arrow pointing left.

Flag

The flag icon next to each correspondence item lets you flag important correspondence. Flagged items will turn red. You can remove a flagged item at any time.

Search

By selecting the search icon, you can search within your correspondence list by using numbers, letters, or characters.

Filter your correspondence

You can refine your correspondence list by using the filter options.

Correspondence type

Only certain correspondence the CRA sends you will show in Mail. To see a specific correspondence on the mail page, you can choose one of these options from the drop-down list:

Date range

The date range filter lets you view correspondence the CRA sent you within a specific time period.

Taxpayer name

The Taxpayer name filter displays the taxpayer name, starting with the last name and then the first name.

Note

To remove a filter, use the "X" button next to the name of the filter. To clear all filters at once, use the "Clear filters" button.

Sort your correspondence

The most recent correspondence will always appear at the top of the list.

Date

The date field shows the date the CRA sent the correspondence to you. You can arrange your correspondence from newest to oldest or oldest to newest by selecting the "Date" sort option.

Status

To arrange your correspondence by status, select one of these options:

Subject

If you have not read an item yet, the subject of the correspondence will be in bold. If you have read the item before, the subject will be in regular type.

Taxpayer name

The Taxpayer name column shows the taxpayer name, starting with the last name and then the first name.

Account number

The Account number column shows the taxpayer’s account number. Only the last three digits of a social insurance number will be displayed.

Reset filters and sort options

To reset all filters and sort options, refresh the page.

Note

If you want to view a correspondence later, without having to sign in to My Business Account, you can save it to your computer.

View, print, and save

Select the correspondence item you want to view, print, or save by clicking on an item in the correspondence list.

Portable document format (PDF)

The "PDF" button on the preview pane lets you download a correspondence item in a printer-friendly format.

Print or save

The "Print/Save" button lets you print the screen you are currently viewing.

Open

The "Open" button lets you view the full correspondence.
